Guest Service Agent Job Description:

Position: Guest Service Agent

Location: Sharjah Collection, United Arab Emirates

Responsibilities:

  1. Greet guests upon arrival with a warm and friendly demeanor, providing a positive first impression and setting the tone for their stay.
  2. Assist guests with check-in and check-out procedures efficiently and accurately, ensuring all required information is obtained and recorded in the hotel system.
  3. Handle guest inquiries, requests, and concerns promptly and professionally, striving to exceed their expectations and resolve any issues to their satisfaction.
  4. Provide detailed information about hotel facilities, services, and local attractions to guests, offering recommendations and assistance to enhance their overall experience.
  5. Process guest reservations, room assignments, and special requests according to established procedures, adhering to privacy and security guidelines at all times.
  6. Maintain a tidy and organized front desk area, including the display of promotional materials, brochures, and signage to promote hotel services and amenities.
  7. Answer telephone calls and respond to emails courteously and promptly, directing inquiries to the appropriate department or staff member as needed.
  8. Handle cash and credit card transactions for room charges, deposits, and incidental expenses accurately, following cash handling policies and procedures.
  9. Coordinate with housekeeping and maintenance teams to ensure guest rooms are clean, well-maintained, and ready for occupancy, addressing any discrepancies or deficiencies promptly.
  10. Monitor guest accounts, folios, and billing statements for accuracy, resolving any discrepancies or billing disputes in collaboration with the finance department.
  11. Uphold the highest standards of professionalism, integrity, and confidentiality in handling guest information and maintaining guest confidentiality.
  12. Collaborate closely with other hotel departments, including concierge, housekeeping, and food and beverage, to coordinate guest services and special requests effectively.

Requirements:

  1. Previous experience in a guest service or front desk role within the hospitality industry is preferred.
  2. Excellent communication and interpersonal skills with a courteous and welcoming attitude towards guests and colleagues.
  3. Strong customer service orientation with the ability to anticipate guest needs, handle complaints diplomatically, and resolve conflicts effectively.
  4. Proficiency in using hotel management software, reservation systems, and Microsoft Office applications for check-in/check-out procedures, reservations, and guest inquiries.
  5. Ability to multitask and prioritize tasks in a fast-paced environment while maintaining composure and professionalism under pressure.
  6. Detail-oriented with a high level of accuracy in processing guest information, room assignments, and financial transactions.
  7. Flexibility to work various shifts, including weekends, evenings, and holidays, based on operational needs.
  8. Fluency in English is required, while proficiency in other languages is advantageous.
  9. Must be legally eligible to work in the United Arab Emirates.
